I haven't really collected themes properly since the mid-2000s, before that I kept my themes on MiniDisc and just had a word document for the track listings. I just listed the superstar name and the number theme in terms of how many themes I had for that superstar in my collection, i.e. The Rock (1/3), The Rock (2/3), The Rock (3/3). The numbers had no relation to the order in which they were used in the history of wrestling. I also had a quality grade (A,B,C,D) and length ("full" or [mins:secs]).
The main problem was the titles didn't really tell me which theme was which and for the people I had lots of themes for (e.g. Undertaker who I had about 13 or 14) it could take ages to find a specific theme. But the reason I did it that way was because theme counts were (and still are) so hard to verify and different collectors' counts often vary wildly, especially since some people do it by promotion and others do it over the wrestlers' whole career over multiple promotions, and track titles are also not known for many themes or are just "[wrestler]'s Theme" which again makes it hard to distinguish between themes.
So anyway I'd be interested to know how you guys keep your themes organized, and what verification (if any) do you do to check themes are numbered/titled correctly?

My folders are sorted like this:
"Wrestling Themes" folder
-folders separated by company
--folders separated by type (PPV, TV, Wrestler, Promo, etc.)
---folders separated by specifics
So it ends up looking like THIS for example. You can see the folder path in the address bar.
As for the actual files, they're sorted like "Wrestler's 1st WWE - Blah Blah Blah".

I have a principal folder called Wrestling Themes & Music with many other folders:
- CD releases / many folders with name of each album
- Itunes releases / many folders with name of each album
- Titantrons rips / many folders with each source of the original titantron
- Game rips / many folders with each name of the game where the music come from
- Recordings / many folders like PPVs, Live Recordings, Dub Music...
- DVDrips / many folders with each name of DVDs where the music is from
- Others (all the stuff I don't really know where it comes from)
Each file is named like this: WWE William Regal - Regality (V2).mp3 or FCW Sheamus O'Shaunessy - Written On My Face.mp3.
When it's a recording: WWE Wade Barrett - End Of Days (V1) [SD 01-14-11].mp3
In fact, I try to organize everything to know where each theme comes from, whatever how many folders I need. I only put 'real wrestling music' (no production music or additionnal songs, for example) in this folder.
I have a second folder called Related Wrestling Music with all production themes used by WWE, WCW or FCW. But this one is not in order, some songs are in bad quality and some names/infos are wrong...

I do all dates as Month, Date, Year. Then whatever it is.

The official releases are in my iTunes Library, all tagged like they should be.
Everything Production is on my External Harddrive sorted by Library and Album. I no longer collect anything new. So it's pretty outdated.
Game Rips and everything from the Arena Tapes is also on my External Harddrive, all tagged in the same style: "Alundra Blayze (Blayzing Hot)", "X-Factor (Fact Or Fiction". If the title isn't known is just the name of the Sports Entertainer. If the person has more the one theme with an unknown title I just number them in the order they were used.
I don't keep recordings or samples anymore.

Thanks for the replies so far, cool that you guys keep your themes so well organized, I'm aspiring to have an organized collection eventually but it is such a massive job after being away from the theming scene for so long
I think I'm most similar to EddieK with my thinking, too many folders kinda annoys me, I think I'll probably do something similar to him
So do you guys do much work in terms of verifying theme counts, and the titles of the tracks? That's another thing that makes organizing difficult
